THOUGHT OF THE WEEK
You've sent out comms. It didn't go well. Maybe the call centre got inundated. Maybe advisers complained. Maybe the response rate was too high or too low. So now you're debriefing what happened.
My experience is that often when people review comms, they just look at the words on the page and think 'this could be shorter/clearer/etc'. However, reality is far messier. Let's consider a few other options:
Is the underlying process too complicated - if you're expecting your comms to somehow make a bad process workable, you're probably not going to be happy.
Was it written by AI - far out people. AI is useful but if I see another email with the same syntax I'm going to scream.
Were the comms specific enough - when there is pressure to make comms shorter, this can creep in. In my experience, brevity is often not the answer.
Too much jargon - what? In our industry? lol
Timing issues - sometimes the comms are great, but they were sent too late, too early or just not frequently enough. There's a marketing saying that people need to see things about six times before they act. So if you've only sent something once, and you expect action, you're going to be disappointed.
Was there information missing? One of my favourite sections to put in a customer letter or email is a heading that says 'Do I need to do anything?' and then a single word answer. Yes or No. If yes, be clear about what, when, etc.
If you've got this far, and you want to be reeeeeaaally clever, you could consider a pre-mortem. Write the comms, then imagine everything that might go wrong. Now look at your comms again. And sort out anything that might cause you issues down the line. Cos there's nothing as demoralising as sending an extra set of 'we are sorry' comms. I know, I've been there!
